Magic Paste & Lead intake
Lead intake (/dispatch/intake, still called Magic Paste in the app header) turns unstructured text — or a short voice memo on Foreman+ — into a draft job you can review before it hits the board.
How to use it
Section titled “How to use it”- Open Dispatch → Lead intake (or the Magic Paste button on the board toolbar).
- Paste email body, text thread, or notes — addresses, tree species, scope, etc.
Or on Foreman+: hold Hold to Speak Lead, talk, release — see Voice intake. - Submit (or auto-parse after voice) — ArborBuddy calls the
intake-parseedge function. - Review the draft in the Review queue before approving.
Import memory
Section titled “Import memory”While you type or paste, ArborBuddy may show a blue Import memory or Vectorize banner if the text matches a prior CSV import or Accounts & Sites record. Use it to jump to account history before submitting — see Import memory.
What the AI extracts
Section titled “What the AI extracts”- Customer and property details (when present in the paste)
- Job type and estimated hours
- Scheduling hints — unclear dates may land in backlog with a warning
Lead intake quota
Section titled “Lead intake quota”Each successful parse uses one lead intake from your monthly tier allowance (shown on Settings → Billing). Sandbox: 3/mo; Climber: 10; Foreman: 50; Autopilot: unlimited.
Intake is also rate-limited per company to prevent abuse and Zapier loops. If you hit a limit, wait and retry.
Privacy
Section titled “Privacy”Customer PII is stripped before LLM processing where possible. Never paste full credit card numbers or SSNs — ArborBuddy blocks known sensitive patterns.
