Magic Paste & Lead intake

Lead intake (/dispatch/intake, still called Magic Paste in the app header) turns unstructured text — or a short voice memo on Foreman+ — into a draft job you can review before it hits the board.

  1. Open Dispatch → Lead intake (or the Magic Paste button on the board toolbar).
  2. Paste email body, text thread, or notes — addresses, tree species, scope, etc.
Or on Foreman+: hold Hold to Speak Lead, talk, release — see Voice intake.
  3. Submit (or auto-parse after voice) — ArborBuddy calls the intake-parse edge function.
  4. Review the draft in the Review queue before approving.

While you type or paste, ArborBuddy may show a blue Import memory or Vectorize banner if the text matches a prior CSV import or Accounts & Sites record. Use it to jump to account history before submitting — see Import memory.

  • Customer and property details (when present in the paste)
  • Job type and estimated hours
  • Scheduling hints — unclear dates may land in backlog with a warning

Each successful parse uses one lead intake from your monthly tier allowance (shown on Settings → Billing). Sandbox: 3/mo; Climber: 10; Foreman: 50; Autopilot: unlimited.

Intake is also rate-limited per company to prevent abuse and Zapier loops. If you hit a limit, wait and retry.

Customer PII is stripped before LLM processing where possible. Never paste full credit card numbers or SSNs — ArborBuddy blocks known sensitive patterns.

Approved drafts move to the board. Low-confidence drafts show a badge — read Review queue before clicking Approve & Send.
